Privacy Statement for Ecordia Users:
Ecordia will store and process your information on a secure server. By “information” we mean personal and portfolio information we obtain from you and others (such as Training Provider staff and work-based assessors) via the website.
The information collected by us via the website may be used for the purpose of administration, and statistical and research purposes to improve and update the content of the website and / or the services to enable an external verifier, training provider, representative, internal verifier or assessor to carry out their obligations or rights, to notify you of any amendments, updates or additions to the website and / or the services provided.
Ecordia will not disclose any such information to third-parties except as required by law or regulation.
The Ecordia system uses cookies, i.e. small files which are stored on a user’s hard-drive for the purpose of assisting the user in their access to the website and / or the services, and to prevent unauthorised access.

Your data and what it is used for
‘Ecordia’ is a trading name of Training Assist Ltd ('us'), who provide an e-portfolio system for training providers, assessment centres and FE Colleges (‘centres’).
If you are placed on the Ecordia system as a learner/student or member of staff, some of your personal data maybe entered by your training centre/FE College.
You will have the opportunity to consent or not, for your data to be used in this way on Ecordia. Your details will be used by the centre to deliver, process and administer your qualification or enable you as a member of staff to deliver, process and administer qualifications and training.
If you contact the Ecordia Support Team then we will retain data such as your name and email address for no more than three years. This data helps us answer any enquiries from you.
How long we will keep your data for and how we will protect it
On behalf of the centres we will retain personal data on your Ecordia account for no more than 7 years.
Data will be processed in a manner that ensures appropriate security of any personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures.
Your data rights and our obligations to you

You may ask us for a copy of the information we hold about you. To request a copy of the information we hold, please contact us at contactus@ecordia.co.uk. If you are a learner/student, please contact your training provider, assessment centre or FE College.
If any information we hold is inaccurate, in the first instance, please contact your training provider, assessment centre or FE College. You can ask your training provider to rectify any inaccuracy.
In specific circumstances, you can ask us to delete information we hold. This will depend on the consent already provided to us. You can also object to, or ask us to restrict, the processing of your data. However, in most cases, please contact your centre / training provider first.
You have the right to withdraw consent at any time. Please contact your training provider or us immediately should you wish to do so.
If you are unhappy with the handling of your personal data, you have the right to refer the matter to the Information Commissioners Office who will thoroughly investigate your concerns.
Please however contact your training provider, assessment centre or FE College in the first instance or Ecordia, as we may be able to resolve the issue directly.
